Position Summary:
Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior executives. The ideal candidate will have exceptional organizational skills, a strong ability to multitask, and a proven track record of working in fast-paced, high-pressure environments.
Key Responsibilities:
- Coordinate complex and dynamic calendars, including scheduling meetings, conference calls, and travel arrangements, while anticipating scheduling conflicts and prioritizing effectively.
- Arrange domestic and international travel itineraries, including flights, accommodations, ground transportation, and related logistics.
- Act as the primary point of contact for the executive(s), managing correspondence, emails, and phone calls with discretion and professionalism.
- Prepare agendas, compile materials, and ensure the executive is briefed and prepared for meetings. Attend meetings to take notes and track follow-ups as needed.
- Process and reconcile expense reports promptly and accurately in compliance with company policies.
- Assist with special projects, research, and other ad hoc tasks as assigned to support the executive(s) and broader team initiatives.
- Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.
- Work closely with other administrative professionals within the organization to coordinate efforts, share best practices, and ensure seamless support.
Qualifications and Skills:
- Minimum of 4+ years of experience as an Executive Assistant, preferably supporting senior-level executives in a corporate environment.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with other business tools (e.g., Zoom, Teams, or Salesforce).
- Excellent communication skills, both written and verbal.
- Proven ability to manage multiple tasks and deadlines with attention to detail.
- Exceptional organizational skills and the ability to adapt to changing priorities.
- Professional demeanor and ability to interact effectively with internal and external stakeholders.
- Self-starter who thrives in a fast-paced, dynamic environment.
- Bachelor’s degree required.
