Position Summary:

Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior executives. The ideal candidate will have exceptional organizational skills, a strong ability to multitask, and a proven track record of working in fast-paced, high-pressure environments.

Key Responsibilities:

Coordinate complex and dynamic calendars, including scheduling meetings, conference calls, and travel arrangements, while anticipating scheduling conflicts and prioritizing effectively.
Arrange domestic and international travel itineraries, including flights, accommodations, ground transportation, and related logistics.
Act as the primary point of contact for the executive(s), managing correspondence, emails, and phone calls with discretion and professionalism.
Prepare agendas, compile materials, and ensure the executive is briefed and prepared for meetings. Attend meetings to take notes and track follow-ups as needed.
Process and reconcile expense reports promptly and accurately in compliance with company policies.
Assist with special projects, research, and other ad hoc tasks as assigned to support the executive(s) and broader team initiatives.
Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.
Work closely with other administrative professionals within the organization to coordinate efforts, share best practices, and ensure seamless support.

Qualifications and Skills:

Minimum of 4+ years of experience as an Executive Assistant, preferably supporting senior-level executives in a corporate environment.
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with other business tools (e.g., Zoom, Teams, or Salesforce).
Excellent communication skills, both written and verbal.
Proven ability to manage multiple tasks and deadlines with attention to detail.
Exceptional organizational skills and the ability to adapt to changing priorities.
Professional demeanor and ability to interact effectively with internal and external stakeholders.
Self-starter who thrives in a fast-paced, dynamic environment.
Bachelor’s degree required.
