Overview

The Creative Team Project Coordinator serves as a critical liaison role between the City of Boston’s Creative Team and our clients, the Departments, and Cabinets within City Hall. You’ll be managing the flow of creative projects ranging from the creation of design assets to developing City branding and facilitating video production to managing City advertising campaigns. You’ll also be responsible for project communication, coordination, scheduling, and delivery of creative assets. This role will report directly to the City of Boston’s Chief Creative Officer and will join the Creative Team in the Department of Innovation and Technology.

Responsibilities

  • Lead project planning and coordination for creative projects, from kickoff to completion, while managing expectations and surfacing concerns or potential delays.
  • Spearhead administrative tasks associated with creative projects, including maintaining documentation, developing processes, and record-keeping.
  • Coordinate communication, tracking, and scheduling of creative projects for the Creative Team.
  • Collaborate with City staff, teams, project partners, and vendors.
  • Participate in weekly Creative Team status meetings.
  • Organize and manage Creative Team project assignments.
  • Coordinate creative project workflows, including establishing project timelines, scheduling kickoff meetings, creating project documents, taking meeting notes, and email follow-up.
  • Coordinate the internal review and approval of creative concepts by project stakeholders.
  • Ensure all creative assets have been proofed and checked for brand alignment before release to Procurement or Vendors.
  • Champion and protect Creative Team workflow processes from client demands while proactively identifying opportunities to optimize and improve.
  • Performs other related duties as required.

Minimum Entrance Qualifications

  • Bachelor's or Associate's Degree from an accredited college or university.
  • Three to five (3-5) years of relevant prior experience in creative project coordination or account management.
  • A strong understanding of creative project processes and workflows across design, digital, print, video, and multimedia production, and an entrepreneurial approach to problem-solving.
  • Exceptional written, verbal, and presentation skills, and an ability to interact effectively with City staff at all levels, from Cabinet Chiefs to Department Communication Teams, as well as external resources.
  • Ability to work under tight deadlines in high-pressure environments, with effective multitasking and time management skills.
  • Excellent attention to detail, with the capacity to work both independently and as part of a collaborative team.
  • Independent and efficient project management capabilities, with minimal supervision required.
  • Proficiency in Google Workspace, Canva, and Jira.
  • Familiarity with Adobe Creative Suite.
