Project Coordinator (Part-Time)
We are currently seeking candidates for a Project Coordinator (Part-Time) opportunity with a highly successful Investment Management firm located in Boston, MA. The Project Coordinator (Part-Time) will be responsible for overseeing project meetings, communicating with stakeholders, maintaining project timelines, preparing meeting materials, and tracking project progress. The ideal candidate will have 3+ years of project coordination, administrative coordination, or project management experience. Financial services experiences highly preferred, but not required.
This is an 8-month contract opportunity, paying between $30-$37/hour (depending on experience).
This is a part-time role that will average 20 hours/week (~4 hours/day Monday-Friday).
The Project Coordinator will work on-site 5 days/week in the firm’s Boston office.
Responsibilities:
- Coordinate project meetings, and assist in preparing meeting agendas, recording meeting notes, and tracking meeting/project action items.
- Facilitate productive communication with stakeholders, ensuring timely follow-ups and information sharing. Foster stakeholder alignment by coordinating meetings, documenting key takeaways, and distributing action items.
- Establish and maintain project plans, including project timelines, status reports, and activity logs, ensuring accurate and timely documentation.
- Monitor project milestones, timelines, and interdependencies, providing consistent updates to the team.
- Work closely with internal/external teams to collect relevant information and maintain updated project documentation.
- Contribute to the creation of presentations, reports, and other materials to effectively convey project status and progress.
- Facilitate issue resolution by tracking outstanding tasks and escalating potential risks when necessary.
- Provide additional support as needed.
Qualifications:
- Bachelor’s degree in a relevant field.
- 3+ years of experience in project coordination, project management, administrative coordination or a comparable role. Previous experience in financial services preferred, but not required.
- Exceptional written and verbal communication skills, ensuring clear and professional interactions.
- Demonstrated ability to coordinate project timelines, facilitate meetings, and promote effective stakeholder communication.
- Proficiency in project management software; familiarity with Workfront is a plus but not mandatory.
- Proficiency in Microsoft Office Suite (Word, PPT, Excel, Outlook).
- Self-motivated and capable of working independently and collaboratively.
