Job Summary
I am seeking a dedicated and professional Front Desk/Clinical Assistant to join a solo Psychiatric Mental Health Nurse Practitioner (PMHNP-BC). The ideal candidate will thrive in a dynamic environment and handle a high-paced workload with confidence and attention to detail, while adhering to health and safety standards. Future short term goals are to add to the team are another PMHNP and LICSW (Licensed Independent Clinical Social Worker) within the next 2-6 months. Mostly this position can be remote except in the initial periods where there would be an in office orientation. I am looking for someone with exceptional customer service who is laid back who can manage administrative tasks and some light clinical duties. This role requires a strong understanding of medical terminology related to mental health and knowledge of insurance companies in Massachusetts.
Duties/Responsibilites
- This role is vital to ensuring the practice operates efficiently and that clients feel welcomed and supported from their initial contact
- Scheduling appointments for new/current people in the practice.
- Respond to phone calls from voicemails with potential for phone number for practice to go live (currently only goes to voicemail which is sent to email addresses), respond to requests for intakes, and provide information regarding services.
- Assist with medical administrative support tasks, including inputting intake information into medical record, insurance verifications, updating medical record based on changes from current people in practice, fulfilling medical record requests, scanning documents into chart, and preparing charts for initial appointments.
- Complete and follow up on prior authorization requests and manage prescription refills
- Maintain confidentiality of patient information in compliance with HIPAA regulations.
- Collaborate with healthcare professionals to ensure smooth operations within the practice which mainly includes calling pharmacies
Qualifications
- High school diploma or equivalent
- Previous experience in a medical administrative support role is preferred.
- Familiarity with medical terminology in mental health is essential.
- Strong organizational skills and attention to detail are required.
- Excellent communication skills, both verbal and written.
- Ability to work effectively in a team-oriented environment while managing multiple tasks.
- A background in mental health or clinical settings is desirable.
- Someone who can multitask, work quickly, efficiently, and accurately, as the practice involves managing multiple tasks and moving parts
- The ideal candidate will thrive in a detail-oriented environment, demonstrate exceptional organizational/time management skills, and work independently with precision and efficiency
- The position offers a flexible work environment to be able to work on their own time but balancing prompt response to requests
- Previous experience in medical front desk operations and medical administrative tasks is required
- Exceptional communication and interpersonal skills with a client-focused approach while maintaining a laid back approach
- Experience handling sensitive information while adhering to HIPAA guidelines is essential
- Proficiency in using practice management software (TherapyNotes) or willingness to learn (training provided)
- Must be a self-starter with the ability to work independently and take initiative
