Under general direction of the Director of Gallery Renovations and Displays, the Assistant Project Manager performs a wide variety of duties involved in the coordination and monitoring of work required to plan and stage collection gallery object installations, rotations, and other directed projects at the Museum. Responsible for the management of each project from approval through the installation. Responsible for producing and communicating project plans while working very closely with various departments throughout the museum.
Essential Functions
Under the direction of the Director of Gallery Renovations and Displays, coordinate the installation of approved and scheduled object installations, rotations, and other directed projects among the many museum areas.These areas include but are not limited to Curatorial departments, Exhibitions and Design, Facilities, Conservation and Collections Management, Education, and Protective Services.
Schedule and manage regular and ad-hoc installation related meetings, including scheduling, creating and distributing agendas, and taking and distributing notes. Develop project schedules for each project to provide a framework for planning, budgeting, implementing, and installing all such projects. Establish milestones for information such as final object list, design plan, installation requirements, etc.. Monitor progress against milestones and correct as needed.
During installations, be present and available to deal with administrative and production issues related to such installations.
Make recommendations to the Director of Gallery Renovations and Displays on non-routine or problematic project requirements. Keep informed as to any unusual circumstances.
With the Director of Gallery Renovations and Displays and related staff, coordinate the preparation of annual rotation operating budgets (revenue and expense) and assist other departments with compiling special project budgets. Monitor and track actual expenses against budget in Exhibitions department rotation budgets.
Secondary Functions
Deal with highly sensitive and confidential information on a regular basis; results of mismanagement of such information would be extremely severe.
Attend additional meetings as invited.
Requirements
Perform other related duties as required or directed.
- 1-3 years of museum or project management experience
- Bachelor's Degree preferred
- Demonstrated ability to work on multiple projects simultaneously
- Ability to work well with and lead all types of personalities
- Must be able to handle confidential information with discretion
- Excellent verbal, oral and presentation skills
- Exceptional analytical, planning, time management and follow-through skills
- Quantitative skills to manage and track budgets essential
- Solid computer skills with strong command of Microsoft programs
Salary And Schedule
Full-time Salary, 35 hours per week
Salary Range: $55,552 - $58,000
